Prof. Widjaja Martokusumo: The E-Office Facilitates the Development of a Paperless Society
BANDUNG, itb.ac.id-The Covid-19 pandemic has caused changes that encourage the adoption of new habits, one of which is the development of E-Office ITB. According to the Institute's Secretary, Prof. Dr-Ing. Ir. Widjaja Martokusumo, the presence of E-Office enhances a paperless society culture.
This issue was discussed at the Semester I 2021/2022 Meeting on Thursday (09/02/2021) at the Bosscha ITB Observatory. In addition to the E-Office, Prof. Widjaja explained some of the tasks held by the Institute's Secretary to deal with the entire semester, which is still in a New Normal state.
In the General Administration and Information department, several innovations and changes have been implemented, including system integration and responsibility for the processing of public information, such as the creation of various ITB sites related to lecture activities. Furthermore, in 2021, the PPID (Information and Documentation Management Officer) site was updated and completed.
Performance enhancements are also carried out by improving the SOP for providing public information, developing an integrated service policy, and preparing a development document for an integrated service information system.
Furthermore, JDIH ITB development is being carried out to facilitate document access and archiving. JDIH ITB is a digital archive of ITB legal documents designed to be integrated with E-Office ITB and accessible to ITB employees and officials based on their level of authority.
The Institute's Secretary may make advancements in Public Relations and Protocol in addition to General Administration and Information. The Public Relations Office shifted its focus to the distribution of news and the printing of books. The ITB's official activities are still carried out virtually due to New Normal adjustments. The activities require collaboration with several professional units, including Ditmawa.
The New Normal situation also applies to the alumni-related filing. Currently, the alumni office is responsible for updating alumni data for 139,000 alumni, 30 IA centers and data processing, and seven alumni communities. Saturday lesson (ITB Career Centre) and Gemilang (Alumni Union FTMD ITB) are two alumni activities that continue to take place online.
