BANDUNG, itb.ac.id — Ten students from Institut Teknologi Bandung (ITB), collectively known as ITB INNOVATIVE, have developed PRISM (Print Records & Integrated Shop Management), an integrated digital system designed to help micro, small, and medium enterprises (MSMEs) manage orders, payments, and inventory more efficiently. Developed through an MSME empowerment initiative under the Bakti BCA Scholarship program, the innovation has been implemented at Niki Digital Printing, a photocopying and printing business established in 2021 in Sukasari District, Bandung.

PRISM was developed to address challenges arising from disconnected order and inventory management processes. According to data collected by the team, following its implementation, all transactions could be recorded in detail, the percentage of paid orders increased from 95% to 100%, and daily revenue losses resulting from unpaid or uncollected orders decreased from approximately IDR 100,000 to zero during the measurement period.

The empowerment program began in February 2026, followed by the development of PRISM in April 2026. The web-based platform was completed in July 2026 and implemented that same month. As of October 2026, PRISM remains in use at Niki Digital Printing and is expected to continue supporting the business's operations in the years ahead.

This innovation demonstrates how simple, affordable digital solutions can help MSMEs improve operational efficiency. Beyond its immediate benefits for Niki Digital Printing, PRISM has been designed with the potential to be further developed and replicated by other businesses facing similar operational challenges.

Addressing Operational Challenges Faced by MSMEs

Before developing a solution, the ITB INNOVATIVE team conducted observations and held discussions with the owner and employees of Niki Digital Printing in Sukasari District, Bandung. Through this process, the team identified two major challenges: the absence of an integrated order recording and reminder system, and the lack of real-time inventory tracking.

These issues directly affected daily operations. Completed orders were sometimes left unpaid or uncollected, while stock availability was often only checked when customers arrived. Such conditions increased the risk of revenue losses and hindered service efficiency.

These findings prompted the team to look beyond the visible symptoms and investigate the underlying causes of the business's operational difficulties. For ITB INNOVATIVE, accurately identifying problems was an essential step toward designing innovations that genuinely addressed users' needs.

"Problems that appear simple from the outside can actually involve multiple layers of complexity. That is why identifying the root causes is essential before determining a solution," the team reflected on one of the key lessons learned during the empowerment program.

PRISM: Transforming Manual Records into an Integrated Digital System

To address these challenges, the team began developing PRISM in April 2026, approximately two months after the empowerment program started. The digital platform integrates order processing, transaction recording, payment management, and inventory monitoring. It was designed to transform previously manual processes into a more structured and interconnected system.

PRISM provides a digital ordering service through nikiprinting.com/order and includes features such as real-time inventory intelligence and a business performance command center. Through the platform, customers can place orders digitally, while Niki Digital Printing can maintain more systematic transaction records and monitor inventory more effectively.

After approximately three months of development, the PRISM website was completed in July 2026 and immediately introduced into Niki Digital Printing's daily operations. Since then, the system has continued to support order management, payment tracking, and inventory control.

The development of PRISM extended beyond building the platform itself. The team implemented the system in stages, including preparing user guides, conducting outreach and training sessions, carrying out trials and iterative improvements, providing ongoing monitoring and assistance, and collecting data to evaluate its effectiveness.
